Session Types & Scheduling

Purpose

Define the different session formats available and the procedures for scheduling them.

Session Types

1. One-on-One Sessions

  • Duration: 30 or 60 minutes
  • Format: Video call (camera optional) with screen sharing
  • Use case: Personalised guidance, homework help, career advice, application reviews
  • Frequency: Recommended weekly or bi-weekly

2. Group Mentoring Sessions

  • Duration: 45-90 minutes
  • Participants: 1 mentor + 3-8 students
  • Format: Video call with moderated discussion
  • Use case: Topic-based workshops, peer learning, panel discussions
  • Frequency: Monthly or as scheduled by mentor

3. Micro-Mentoring

  • Duration: 10-15 minutes
  • Format: Quick video call or text-based exchange
  • Use case: Quick questions, brief check-ins, specific advice on a narrow topic
  • Frequency: On-demand, subject to mentor availability

Scheduling Procedure

  1. Student selects session type and preferred time from mentor's available slots
  2. Student adds session topic/agenda (required for 1-on-1 and group; optional for micro)
  3. Mentor receives notification and confirms within 24 hours
  4. Both parties receive calendar invite and reminders (24 hours, 1 hour, 15 minutes before)
  5. Reminders sent via in-app notification, email, and WhatsApp (if enabled)

Cancellation & Rescheduling

  • Free cancellation up to 4 hours before session
  • Late cancellations (under 4 hours) are recorded and tracked
  • 3 late cancellations in 30 days triggers a review by country admin
  • No-shows are flagged and both parties are contacted for follow-up

Low-Bandwidth Fallback

If video quality drops below threshold during a session, the system automatically suggests switching to audio-only or rescheduling. Session content and notes are always available in text form post-session.
